Under the supervision of the Executive Assistant or Office Manager, the Secretary provides general secretarial/data entry support and other secretarial functions for assigned departments/areas within PACE; provides cross coverage for other secretary and administrative staff at all locations; and works within a variety of settings throughout the PACE Program.

  • Minimum two (2) years secretarial or administrative experience in similar setting.
  • High school diploma or equivalent required.
  • Excellent customer service skills.
  • Typing minimum of 50 words per minute.
  • Medical terminology desirable.
  • Familiarity with office equipment.
  • Strong written and oral communication skills.
  • Demonstrated time management and organization skills.
  • Proficient in MS Office tools and able to learn new software rapidly.


  • Performs general administrative duties such as typing correspondence , updating policies and procedures and job descriptions, etc.; may provide coverage for Administrative Assistant as necessary; also provides administrative/secretarial support for primary care clinics as well as Department Heads and Supervisors as needed.
  • May perform a variety of new participant activities such as coordination of first day visit, greeting letters, issuing ID cards, etc.; completes process for donation acknowledgements; maintains/updates day center cancellation list and its distribution.
  • Offers support/assistance to Directors of Team Services as needed i.e. sending out utilization spreadsheets, tracking time off for direct reports, coordinating meetings and reserving conference rooms etc.
  • Takes meeting minutes for standing meetings i.e. Participant Council, special task force or other meetings upon request; provides clerical support to ancillary vision department at McAuliffe site; prepares and distributes monthly update of social worker's caseload rosters for both teams; responsible for completing and distributing monthly provider clinic schedule; responsible for completing and distributing monthly on-call schedule.
  • Greet participants and visitors up arrival; monitors participant(s)/visitor(s) activity in waiting area relating to safety issues, etc.; provides direction and assistance to visitors; receives the Center's mail and routes appropriately; answers general questions or assists visitors in locating appropriate assistance. Ensures visitors sign in and receive temporary ID badge; answers multiple telephone lines; takes messages or routes to appropriate department/personnel.
